Our commitment to you

Irlen North Trust takes your privacy seriously. This policy explains what personal information we collect, why we collect it, how we look after it, and what rights you have. It applies to anyone who applies for funding, donates, signs up to our newsletter, or otherwise gives us their details.

We collect and hold your information in line with the Privacy Act 2020. Irlen North Trust and The Eye Lady work together to deliver our mahi, and information collected through either may be shared between the two for the purpose of providing the support you've asked for.

What we collect

Depending on how you interact with us, we may collect:

  • Funding applicants: the tamaiti or rangatahi's name, date of birth, gender, and ethnicity; parent or guardian name, email, address, and phone number; community services card status; iwi affiliation (if provided); details of learning difficulties, disabilities, or neurodiversity; information about the difficulties you're seeking support for; and anything else you choose to share in your application.

  • Donors: name, contact details, and payment information needed to process and receipt your donation.

  • Newsletter subscribers: name and email address.

  • General enquiries: whatever you include when you contact us.

Why we collect it

We only collect what we need, for these purposes:

  • to assess and manage funding applications

  • to arrange and coordinate screening, assessment, and intervention services

  • to process donations and issue receipts

  • to report to funders and grant bodies on the impact of our mahi

  • to send newsletters and updates, where you've signed up

  • to answer your queries and keep in touch about your application or donation

How we collect it

Mostly, directly from you: through our online application form, donation process, newsletter sign-up, email, or in person. Occasionally we may receive information from a school, health professional, or referring organisation, but only where you or your whānau have consented to that referral.

Who we share it with

We don't sell or share your information for marketing purposes. We may share relevant details with:

  • Assessment and intervention providers, such as The Eye Lady, Irlen NZ, and local screeners, so they can deliver the service you've been approved for

  • Funders and grant bodies, in de-identified or aggregate form, for reporting purposes

  • Our service providers:

    • Involve.me - application and form processing software

    • Google Sheets

    • Good Numbers - our accounting software

    • DonorSeek - our donation and receipting platform, who help us manage applications, finances, and donor relationships

  • Government agencies, where required by law, such as for the Enable Subsidy application process (with your consent)

Some of our service providers, including involve.me, store information on servers located outside New Zealand. Where this happens, we take reasonable steps to ensure your information is protected to a standard comparable to the Privacy Act 2020.

We never share your information with anyone else without your consent, unless required by law.

Keeping your information safe

We store information securely and limit access to authorised representatives of the Trust. We take reasonable steps to protect your information from loss, misuse, or unauthorised access.

If a privacy breach occurs that's likely to cause you serious harm, we'll notify you and the Office of the Privacy Commissioner as required under the Privacy Act 2020.

How long we keep it

We hold your information for as long as it's needed for the purpose it was collected, and for 7 years from your last contact with us, in line with our charitable financial record-keeping requirements.

Your rights

Under the Privacy Act 2020, you have the right to:

  • ask what personal information we hold about you

  • ask us to correct it if it's wrong

  • withdraw consent to future contact at any time

To do any of these, get in touch using the details below. We'll respond within 20 working days, as required by law.

If you are unhappy with how we've handled your information, you can also make a complaint to the Office of the Privacy Commissioner at privacy.org.nz.

Children and young people

Most of the information we collect relates to tamariki and rangatahi. This is always provided by, and with the consent of, a parent or guardian, who remains the primary contact for any privacy request relating to their child's information.

Cookies and website data

Our website uses Google Analytics and the Meta (Facebook) Pixel to understand how people use our site and to help us reach the right people with our mahi. These tools use cookies to collect information such as your browser type, pages visited, and general location. This information is anonymised and doesn't identify you personally.

You can turn off cookies in your browser settings at any time, or opt out of Google Analytics using the Google Analytics opt-out browser add-on. Turning off cookies won't affect your ability to use our application form or contact us.

Google and Meta may process this data outside New Zealand, in line with their own privacy policies. You can read more in Google's Privacy Policy and Meta's Privacy Policy.

Changes to this policy

We may update this policy from time to time. The latest version will always be available on this page.
